Automatic payment reminders: Quire now chases late invoices for you

Short answerQuire Studio now sends payment reminders for you. Switch on Reminders when you send an invoice and your client gets a short, polite email 3 days before the due date, on the day, and 3, 7 and 14 days after. They stop by themselves when the invoice is paid, when your client says they've paid, or when you delete it.
The worst part of freelancing isn't the work. It's the week after the due date, when you're writing "just following up on this" for the third time and wondering whether it sounds needy. From today, Quire writes and sends that email for you.
What your client receives
Five short emails at most, each with the invoice number, the amount, the due date and a button to open the invoice. They arrive as "Your name via Quire", and a reply goes straight to you, not to us.
| When | What it says |
|---|---|
| 3 days before the due date | A heads-up that it's due soon |
| On the due date | It's due today |
| 3 days after | It's 3 days overdue |
| 7 days after | It's a week overdue |
| 14 days after | The last reminder, two weeks overdue |
They go out at 09:00 UTC, so they land in the morning in Europe and the afternoon in India, not at 2 a.m. If you send an invoice that's already close to its due date, the steps that have passed are skipped rather than sent all at once.
It stops on its own
Reminders end the moment there's no reason to send one: when you mark the invoice paid, when your client presses I've paid on the invoice, or when you delete it. Change the due date and the schedule moves with it. Your client can also stop them from the bottom of any reminder, which keeps it polite even with a client who has already paid by bank transfer.
Why automatic beats remembering
Most late invoices aren't refused. They're forgotten: the email got buried, the person who approves payments was away, the due date passed unnoticed. A reminder on the day fixes most of those. The rest of the habits that get you paid sooner are in how to get paid on time, and the wording for a firmer follow-up is in payment terms.
It also changes how the chasing feels. A scheduled reminder is a system, not you being pushy. You stay the person who did good work, and Quire is the one keeping track.
What moved to Pro
Two features that used to be Studio-only are now in Pro, because every freelancer should have them:
- Read receipts. An email the first time your client opens the invoice, so you know it landed instead of guessing.
- I've paid. A button on the shared invoice your client presses after paying. You get an email, and the invoice is flagged so you can check your bank and mark it paid.
Who Studio is for now
Studio is the plan that chases for you. It has everything in Pro, plus payment reminders, saved clients you can bill again in one click, and more than one business on one account, each with its own name, payment details and invoice numbering. If you run a small studio, or freelance under two names, that last part means one login instead of two.
How to switch it on
- Open an invoice and press Send.
- Turn on Reminders in the send window. Quire remembers your choice for next time.
- Send. The invoice list shows the date of the next reminder, so you always know what goes out when.
Changed your mind? Send the invoice again with Reminders off, mark it paid, or delete it, and nothing more goes out.
Questions
- Can my client tell the reminders are automatic?
- They arrive as your name via Quire, replies go to your email address, and each one reads like a short personal note. The footer says it was sent with Quire and has a link to stop the reminders.
- Will a reminder go out after my client has paid?
- Not if you've marked the invoice paid or your client pressed I've paid. If they paid by bank transfer and you haven't marked it yet, they can stop the reminders from the email.
- Can I choose the days?
- Not yet. Every invoice uses the same schedule: 3 days before, on the day, and 3, 7 and 14 days after.
- Are reminders on the free plan or Pro?
- Reminders are on Studio. Pro includes sending by email, read receipts and the I've paid button.
