Freelance UX designer invoice template
Your client has spent weeks judging your typography, spacing and hierarchy. Then the invoice arrives. For a designer, the invoice is a design artifact too, and it's usually the last thing a client sees. Quire makes one that looks like your work, in USD or EUR, free.
Start from a template
Each opens in the editor as a new draft with the lines filled in. Add your rates, your client, and send.
- USD invoiceFor US clients. Milestone 1 of 3, wire details in the notes.
- Discovery and UX audit
- User flows × 3
- Design system
- Usability testing round
- Developer handoff
- EUR invoiceFor European clients. Same structure, euro formatting.

How it works in Quire
- 01
Open a template
Pick USD or EUR above. The scope lines are ready, billed per flow, not by the hour.
- 02
Set rates and milestone
Add your prices and the client. Bill 50% to start, then 25% and 25%, with one invoice per milestone.
- 03
Send the link
Share a link that opens a clean page, or a PDF. Add your bank details once and they print on every invoice.
What you get
- A layout that holds up next to your portfolio: set type, quiet hierarchy, no clip art.
- Any currency. USD, EUR, GBP and the rest, formatted correctly.
- Free, with no sign-up and no watermark. Pro ($3.99/month) adds your logo, every template and contracts.
- Paid directly. Bank details or a payment link print on the invoice; Quire never touches the money.
Line items that describe the work
"Design work, 40 hours" invites a client to argue the hours. Lines named after what they get make the value visible:
- Discovery and UX audit. Interviews, heuristic review, a findings deck.
- Per flow or per screen. Onboarding, checkout, settings. Quantity × rate keeps scope honest.
- Design system. Tokens, components and documentation.
- Usability testing round. Sessions, synthesis, the fixes that follow.
- Developer handoff. Annotated files, specs and a review call.
Milestone billing
The common split is 50 / 25 / 25: half to start, a quarter on design approval, a quarter on handoff. Larger projects bill per milestone instead, one invoice when each phase is signed off.
Send a separate invoice for each milestone and name it in the project title ("Milestone 2 of 3"). Your client's finance team can match it to the contract, and you never wait for the whole project to be paid.
Indian freelancers: GST on overseas work
Design work for an overseas client paid in foreign currency may qualify as an export of services under GST if the legal conditions are met. If it does and you're GST-registered, you can file a Letter of Undertaking (LUT) on the GST portal each financial year and invoice without charging GST. Leave tax at zero and add "Supply meant for export under LUT without payment of IGST" to the notes, with your LUT reference.
Confirm the applicable GST treatment with a CA.
Billing in dollars or euros
Pick the client's currency and every amount formats the way they expect: $4,800.00 for a US client, €4,800.00 for an Irish one. Invoicing in their currency means their finance team pays without converting. The full walkthrough, from currency to getting paid, is in how to invoice a US client from India.
Questions
- How should I price milestones on a UX project?
- Tie each milestone to something the client signs off, not to dates. A common split is 50% upfront, 25% on design approval and 25% on handoff. Price the deposit so it covers your discovery work if the project stops early.
- What payment details should an international invoice include?
- Your full legal name and address, bank name, account number or IBAN, the SWIFT/BIC code, and the currency you want paid in. US clients may ask for an ACH routing number if you use a US receiving account. Add who pays transfer fees, and ask the client to quote the invoice number.
- Should I invoice per hour or per flow?
- Per flow or per deliverable is easier to approve and doesn't punish you for working fast. Keep hourly for open-ended retainers.
- Do I charge GST to a foreign client from India?
- Not if it qualifies as an export of services and you've filed an LUT (or you're unregistered). Leave tax at zero and note the LUT on the invoice.
- Is it free?
- Yes. Make and send invoices free, with no sign-up. Pro is $3.99 a month.
